The process of setting up and viewing leave hours can be broken into the following parts:<\/p>\n<p>Part One: Adding leave income types to the employee setup<\/p>\n<p>Part Two: Configuring the leave hours settings in the employee setup<\/p>\n<p>Part Three: Viewing and editing leave hours values on the check details dialog<\/p>\n<p>Part Four: Printing leave hours on checks<\/p>\n<p>Part Five: Reviewing leave hours for several employees<\/p>\n<p><a href=\"http:\/\/www.realtaxtools.com\/payrollsoftware\/payroll_software.html\"><img decoding=\"async\" title=\"Payroll Vacation Accrual - Payroll -Software\" src=\"https:\/\/www.realtaxtools.com\/images\/vacation-accrual.jpg\" alt=\"Payroll Vacation Tracking in Payroll Software\" \/><\/a><\/p>\n<p><strong>Part One: Adding leave income types to the employee setup<\/strong><\/p>\n<p>Adding the built-in leave income types to the employee setup allows Payroll Mate to automatically calculate the vacation hours used and sick hours used on the payroll check.<\/p>\n<p>It also makes it easier for you to identify vacation and sick payments you paid to the employee as it will be listed as a separate income on the check dialog and on the printed check stub.<\/p>\n<p><em>You can skip this part if you don&#8217;t want Payroll Mate to automatically calculate vacation hours used and sick hours used on the Payroll Checks.<\/em><\/p>\n<p>In order to add leave income types to the employee setup follow these steps:<\/p>\n<ol start=\"1\">\n<li>Open the Modify Employee wizard.<\/li>\n<li>Go to the Incomes page: check the boxes for the built-in incomes: \u201cVacation Pay Hourly\u201d and \u201cSick Pay Hourly\u201d and fill in the appropriate amount for hourly rate.<\/li>\n<\/ol>\n<p>Please note that you must check these built-in income types in order for Payroll Mate to automatically calculate the vacation hours used and sick hours used on the payroll check; adding your own incomes to the company or using the other built-in income \u201cSick Pay\u201d won\u2019t work for that purpose.<\/p>\n<p><strong>Part Two: Configuring the leave hours settings in the employee setup<\/strong><\/p>\n<ol>\n<li>Open the \u201cModify Employee\u201d wizard.<\/li>\n<li>\u00a0Go to the \u201cVacation \/ Sick Hours Settings\u201d page.<\/li>\n<li>Fill the following boxes as appropriate:\u00a0 \u201cVacation Hours Earned\u00a0 Per Check\u201d and \u201cMaximum Vacation Hours Earned Per Year\u201d<\/li>\n<\/ol>\n<p>Payroll Mate uses these two values to calculate the \u201cVac. hours earned\u201d value on the payroll check, if you don\u2019t want Payroll Mate to calculate this value, you can either leave \u201cVacation Hours Earned Per Check\u201d empty or fill it with zero.<\/p>\n<p>In case you don\u2019t want to set a maximum for the amount of \u201cVac. hours earned\u201d an employee can earn during the year then you can leave \u201cMaximum Vacation Hours Earned Per Year\u201d empty, but if you fill it with zero then Payroll Mate will always calculate the amount of \u201cVac. hours earned\u201d as zero.<\/p>\n<ol>\n<li>\u201cSick Hours Earned Per Check\u201d<\/li>\n<li>\u201cMaximum Sick Hours Earned Per Year\u201d<\/li>\n<\/ol>\n<p>Payroll Mate uses these two values to calculate \u201cSick hours earned\u201d value on the payroll check in a similar way to that mentioned above.<\/p>\n<p><strong>Part Three: Viewing and editing leave hours values on the check details dialog<\/strong><\/p>\n<p>Payroll Mate uses the settings in the employee setup mentioned above in Part One and Part Two to calculate the following leave hours values, and gives you the option to override these calculated values according to your needs.<\/p>\n<p>\u201cVac. hours earned\u201d<\/p>\n<p>\u201cSick hours earned\u201d<\/p>\n<p>These two values are calculated based on the settings mentioned above in Part Two.<\/p>\n<p>\u201cVac. hours used\u201d<\/p>\n<p>\u201cSick hours used\u201d<\/p>\n<p>These two values are calculated based on the corresponding \u201cQuantity\u201d value of \u201cVacation Pay Hourly\u201d and \u201cSick Pay Hourly\u201d. In case any of these two incomes doesn\u2019t show on the payroll check the corresponding hours used will be filled with zero.<\/p>\n<p><strong>Part Four: Printing leave hours on checks<\/strong><\/p>\n<ol>\n<li>Go to the \u201cReports\u201d window inside Payroll Mate and select \u201cCheck Printing\u201d.<\/li>\n<li>Click on \u201cSpecify Checks to Print\u201d.<\/li>\n<li>Keep the following check box checked: \u201cPrint Vacation and Sick Hours on Pay Stubs\u201d in order to print the vacation and sick hours values on the check pay stubs, otherwise you can uncheck this box to print the checks without the vacation and sick hours information.<\/li>\n<li>Select the other options inside \u201cSpecify Checks to Print\u201d dialog as appropriate.<\/li>\n<\/ol>\n<p><strong>Part Five: Reviewing leave hours for several employees<\/strong><\/p>\n<ol>\n<li>Go to the \u201cReports\u201d window inside Payroll Mate and select \u201cLeave Hours Details\u201d.<\/li>\n<li>Click on \u201cReport Options\u201d to select appropriate pay date range and employees to get included on the report.<\/li>\n<li>Click on \u201cPreview\u201d or \u201cPrint\u201d buttons in order to preview or print the report.<\/li>\n<\/ol>\n<p>This report shows for each one of the employees selected in \u201cReport Options\u201d all the payroll checks issued within the range of pay dates selected in \u201cReport Options\u201d.<\/p>\n<p>The report lists for each one of these checks the following values: \u201cVacation Hours Earned\u201d, \u201cVacation Hours Used\u201d, \u201cSick Hours Earned\u201d, and \u201cSick Hours Used\u201d.
