IRS IRIS 1099 Portal & W2 Mate®: Top Questions & Answers
Table of Contents
Getting Started & TCCs
Do I need a new TCC for IRIS, even if I already have one for the old FIRE system?
Yes. A new, separate IRIS TCC is required. Old FIRE TCCs are typically 5 numeric digits (e.g., 12345), whereas the new IRIS TCC is 5 characters starting with the letter 'D' (e.g., D1234). They are not interchangeable.
How long does it take to get the IRIS TCC?
Many customers receive their IRIS TCC within just a few days; however, official IRS guidance advises processing can take up to 45 days. It is best to apply early, as delays often occur during busy seasons.
Why must I use ID.me to log in?
ID.me is the mandatory third-party identity verification service used by the IRS. You cannot access the IRIS portal without a verified ID.me account.
I am a sole proprietor but the application asks for two Responsible Officials. What do I do?
The system has been updated to allow single-owner entities to apply. If the application still demands a second official and blocks you, please call the IRS Help Desk for assistance.
How do I choose the correct 'Role' (Issuer vs. Transmitter)?
Select 'Issuer' if you only file for your own company. Select 'Transmitter' if you file for your own company and for client companies (e.g., CPA firm or service provider).
If I don't use my TCC for a few years, will it expire?
Yes. If you do not use your IRIS TCC for three consecutive years, it will be automatically deleted, and you must reapply.
File Formats (IRIS, FIRE, SSA, States)
What file format does each portal require?
It is critical to use the correct format for the correct portal. W2 Mate handles all of these automatically:
1. SSA (Social Security Administration): Uses the EFW2 format (a text file ending in .txt) for filing W-2 forms.
2. IRS FIRE System: Uses the Publication 1220 format (a legacy ASCII text flat file) for filing 1099s.
3. IRS IRIS Portal: Uses CSV format for manual uploads to the Taxpayer Portal, or XML format for A2A (Application-to-Application) transmissions. W2 Mate Supports the CSV format for IRIS.
What is the biggest difference between IRIS and FIRE?
IRIS is a newer system that accepts structured XML and CSV files and gives more immediate validation and error messages during the submission process. FIRE, by contrast, uses older flat‑file formats and typically reports many errors only after the file has been received and processed, so feedback can be slower and less interactive. W2 Mate supports filing through both IRIS and FIRE. Also note that, as of the 2026 tax season, states that accept direct 1099 uploads from filers do so using the FIRE format rather than IRIS.
Where do I get the official CSV file template?
The templates for Forms 1099, 1098, etc., are downloadable directly from the IRIS Taxpayer Portal after you log in. W2 Mate generates IRIS‑ready CSV files using the built‑in IRIS template format, so users do not need to download or configure a separate CSV template from the IRIS portal.
What is the A2A method, and is it better for high-volume filing?
A2A (Application‑to‑Application) is an IRS e‑filing method intended for high‑volume filers that send large numbers of information returns using XML through a direct, system‑to‑system connection with IRS services. It is typically used by organizations that file thousands of forms and have the IT resources to manage integration, security, and ongoing maintenance. W2 Mate generates IRIS‑ready CSV files for use with the IRIS Taxpayer Portal rather than A2A XML files. This approach lets users upload and preview their data directly in the portal without needing to maintain a permanent connection from their own systems to IRS servers, which can be affected by local firewalls and security software.
Which states does W2 Mate support for direct 1099-NEC E-Filing?
While many states participate in the Combined Federal/State Filing (CF/SF) program, some require direct uploads. W2 Mate generates the required files for direct upload to the following states:
Arizona
Arkansas
California
Connecticut
Delaware
District of Columbia
Georgia
Indiana
Iowa
Kansas
Kentucky
Maryland
Massachusetts
Michigan
Mississippi
Missouri
Nebraska
North Carolina
Oklahoma
Oregon
South Carolina
Utah
Vermont
Virginia
West Virginia
Wisconsin
Pennsylvania Note: W2 Mate also creates the specific 1099-NEC CSV file required by Pennsylvania, which differs from the standard Federal format. Do not confuse the PA CSV format with the IRIS CSV format; they are completely separate and unrelated. PA has its own required columns, ordering, and validation rules that differ from the IRIS CSV specification, so always treat them as distinct file types with their own rules and structures.
Can I use IRIS to file forms like 1042-S, W-2, or other non-1099 forms?
IRIS currently supports the 1099 series, 1098, 5498, and W2-G. You must still use the FIRE system for Forms like 1042-S, and the BSO system for W-2s.
How to Use W2 Mate for IRIS Filing
How do I create the CSV file for IRIS using W2 Mate?
Once your data is entered or imported, simply go to the "E-Filing" menu, select the form you are filing (e.g., 1099-NEC), and click "Export to IRS IRIS CSV Format." W2 Mate will validate your data and generate the precise file required for upload (follows the IRIS CSV template formatting). See See detailed tutorial.
How do I convert a file from the old FIRE format to the new IRIS format?
This is a popular feature. In W2 Mate, go to "Import Data" > "From 1099 Electronic Filing Format (FIRE)" to load your old file. Once the data is inside W2 Mate, you can simply export it using the "Export to IRS IRIS CSV Format" tool described above. See See detailed tutorial.
Can I combine data from different sources (e.g., Excel and QuickBooks) into one IRIS upload?
Yes. W2 Mate serves as a central hub. You can import data from multiple sources (like Excel, QuickBooks, and FIRE files) into W2 Mate, merge them into a single company database, and then generate one clean, combined CSV file for the IRIS portal.
When W2 Mate imports data, how does it handle the specific boxes (e.g., 1099-NEC Box 1 vs. 1099-MISC Box 3)?
During import, W2 Mate shows each column from your spreadsheet and lets you map it to a specific field on the form you are working with, such as 1099‑NEC Box 1 or 1099‑MISC Box 3. You choose the correct box for each column, so the data file can be imported accurately.
How does W2 Mate handle the record limit (100-250 records) for bulk filers?
The IRS limits how many records can be in one CSV file. W2 Mate automatically splits your data into multiple compliant CSV files (e.g., File 1, File 2) so you can upload them sequentially without getting a "File Too Large" error.
Do you have a detailed tutorial on how to upload my CSV file to IRIS?
Yes. Please follow this step-by-step tutorial for W2 Mate users—it explains how to upload, validate, and submit 1099 forms through the IRS IRIS Taxpayer Portal.
If W2 Mate exports multiple CSV files due to the 250-record limit, must I upload them all at once?
No. You must upload them one at a time to the IRIS portal, and submit each file individually before uploading the next one.
Does W2 Mate check for errors before I upload?
Yes. Before generating the CSV, W2 Mate runs a validation check to ensure required fields (like EINs, names, and amounts) are present and formatted correctly, reducing the chance of rejection by the IRS.
Does the base version of W2 Mate include E-Filing, Import, PDF, or Network features?
Please note that the base W2 Mate software supports paper filing of forms W-2, W-3, 1096, 1099-MISC, and 1099-NEC. Advanced features including E-Filing (IRIS, FIRE, SSA), Data Import, PDF creation, Network capabilities, and support for additional forms are optional add-ons that must be purchased separately. Please refer to the buy page for optional features you can order in addition to W2 Mate.
After creating the CSV in W2 Mate, do I need to edit the file in Excel?
You can open the CSV file in Excel to view the data, but be very careful if you make any edits. Excel can sometimes alter the file’s formatting — for example, it may remove leading zeros (such as in ZIP codes), change date formats, or modify Tax IDs and names through auto-corrections. If you need to make changes, use caution to ensure the data format remains exactly as W2 Mate generated it, or use a plain text editor to avoid accidental corruption.
If the IRIS portal rejects my file, can I re-import the error file into W2 Mate to fix the records?
W2 Mate allows you to go back to the original source data, correct the specific records identified in the IRIS error report, and re-export a corrected CSV file for re-submission.
Does W2 Mate help me distribute the recipient copies (Form B) or just create the e-file (Form A)?
W2 Mate can print the required paper recipient copies (Form B, C, etc.) on blank or pre-printed forms, in addition to creating the IRIS e-file for the IRS.
Does W2 Mate have the ability to create password-protected PDF files to securely send 1099s to recipients?
Yes. W2 Mate includes a feature to create password-protected PDF copies of the 1099 forms, which is a common method for securely emailing recipient copies while protecting sensitive data.
Portal Troubleshooting & Common Errors
Why is the IRIS website so slow or crashing?
The portal suffers from overload during the high-volume filing season (January/February). We strongly recommend filing early in the month or during off-peak hours (early morning/late evening).
The "Loading..." screen won't go away. How do I fix this?
Try switching to a different web browser (many users report success moving from Chrome to Firefox or Edge) or clearing your browser cache.
My submitted forms are missing from the 'View Submitted Forms' list.
This is a common display glitch during high traffic. Do not resubmit immediately; check again in a few hours to avoid creating duplicate filings.
Why did my CSV upload fail?
Failures are often due to server timeouts during peak hours. Try uploading again during off-peak times. If the error persists, check the "Error Log" provided by the portal to see if specific data (like a Name/EIN mismatch) caused the issue.
Why does IRIS reject my EIN or business name?
The payer’s EIN and name must exactly match IRS records. Even a small difference (like "Company, Inc." vs "Company Inc") can cause a rejection.
Do I receive an email confirmation after a successful submission?
Not always. The IRIS system primarily relies on the status update within the dashboard to notify you of acceptance, which requires actively logging in to check.
My file status says "Accepted with Errors." Do I need to re-upload the whole file?
No! Do not re-upload the entire file. "Accepted with Errors" means the IRS processed your file, but specific records (payees) failed validation. You must only correct and resubmit those specific records. If you re-upload the whole file, you will create duplicates for the payees that were already accepted.
How long does the status show "Processing" before it switches to "Accepted?"
Processing can take up to 7 days, though it is often much faster (in 24 hours). You must not refile the forms during this time to avoid creating duplicates.
Is there a test environment for the CSV file submission?
The IRIS Taxpayer Portal does not offer a separate test or sandbox site for CSV uploads; all CSV files are validated in the live system at the time of upload. W2 Mate generates CSV files in the required IRIS template format, so you can upload them directly and see any validation messages from IRIS immediately after submission.
The portal hangs on "Constructing Transmissions" or "Loading." What should I do?
This is a known browser caching issue. Users report high success rates by switching browsers (e.g., from Chrome to Edge or Firefox) or by using "Incognito/Private" mode to bypass the stuck cache.
The IRIS help desk phone number always has high volume and hangs up on me.
The IRIS technical support line (866-937-4130) sees overwhelming call volumes during filing season, but the IRS team tries their best to help every user. Call right when it opens (7:30 a.m. ET, Monday–Friday, and certain Saturdays during peak season) and listen to all menu options for the best chance of getting through without hang-ups. To avoid needing support altogether, file early and do not wait until the last two days of the season.
General Filing Requirements
I successfully uploaded my forms—are they officially filed?
No. Uploading is only Step 1. You must navigate to "Unsubmitted Forms," select the batch, and click the "Submit" button. If you do not click Submit, the IRS will never process your forms.
Does IRIS support Combined Federal/State Filing (CF/SF)?
Yes, IRIS supports CF/SF. However, not all states participate, and some participating states still require a direct filing. Always check the W2 Mate 'State' module to see if a direct state file is required.
What is the electronic filing requirement threshold?
You are required to e-file if you have 10 or more information returns (1099, 1098, W-2, etc.) in total.
Is the legacy FIRE system going to be retired?
Yes. The IRS plans to retire FIRE entirely for 1099s starting with the 2026 tax year (filed in 2027).
Can I use IRIS to file W-2s?
No. IRIS is for 1099s. W-2s must be filed via the SSA's BSO system. W2 Mate supports both BSO (for W-2s) and IRIS (for 1099s) in one platform.
How do I file a correction to a form I already filed?
Corrections are filed through the IRIS portal and require referencing the Unique Record ID assigned to the original accepted form.
If I filed the original form via FIRE, do I correct it via IRIS?
No. You must use the same system (FIRE or IRIS) that was used for the original, successful filing to submit the correction.
Can I use the IRIS portal to retrieve a copy of an old 1099 I filed on FIRE?
No. IRIS only maintains records for submissions filed through IRIS. You must log into the separate FIRE system to access that history.
