How to Adjust Offsets for Pre-Printed Forms

This tutorial shows how to adjust the offsets when printing W-2, 1099 and 1098 data on pre-printed forms using W2 Mate® software. The ability to adjust offsets (moving data vertically and horizontally) is very important to get the boxes to align properly on red-ink scannable tax forms that you file with the IRS and SSA. W2 Mate® includes a feature to make adjusts in the smallest of increments assuring the ability to precisely align your W2 Mate® data with pre-printed W-2, 1099 and 1098 red ink scannable forms.

Step by Step Instructions

Make sure you have the correct Company open inside W2 Mate

Note: Print data on a blank piece of paper and hold this printed page up to the actual form to check the alignment prior to printing on the actual form(s).

**1099/1098 Forms

1. Click "1099 and 1098 Forms" in shortcuts

2. Click "Select" to choose form type

3. Select the type of form

4. Click "OK"

5. Click "Print"

6. Select Recipients

7. Select "Print DATA ONLY on preprinted form"

8. Adjust offsets for printing on the preprinted form as needed: Horizontal (up and down) or Vertical (left and right)

Note: We suggest making adjustments of increments of .05 at a time

9. Click "OK"

10. Select printer

11. Click "OK"

**W2 Forms

1. Click "W2 Forms" in shortcuts

2. Click "Print"

3. Select Employees

4. Select "Print DATA ONLY on preprinted form"

5. Adjust offsets for printing on the preprinted form as needed: Horizontal (up and down) or Vertical (left and right)

Note: We suggest making adjustments of increments of .05 at a time

6. Click "OK"

7. Select printer

8. Click "OK"

Note: For all pre-printed forms we recommend you print data on a blank piece of paper until you have confirmed the correct alignment with the actual pre-printed form, then print the data on the pre-printed form.
