How to E-File W2 Forms to SSA

W2 Mate® software offers the ability to generate electronic filing submissions of Annual Wage Reports (W2 Forms). The file generated is based on SSA’s "Specifications for filing Forms W-2 Electronically EFW2". Employers of all sizes will find the convenience of e-filing beneficial. Certified public accountants and accounting firms know how much time and hassle electronic filing eliminates. File large numbers of W-2 forms; file multiple companies in a batch or submit each company to the Business Services Online (SSA) website separately. Use this tutorial to assist you with E-filing W2 forms.

Step by Step Instructions

Make sure you have the correct Company open inside W2 Mate

Note: In order to use this feature you must purchase and enable W2 Mate Option #4 to electronically file

1. Click "E-Filing" from the top menu

2. Select "W2 Forms"

This will open the Electronic Filing Submitter Setup page

3. Complete all of the Submitter and Contact information fields

4. Select Federal to generate the W2 electronic submission file

5. Select "Browse" to select the location for the electronic file to be saved

6. Click "OK"

7. Click "Copy the File Path to Clipboard"

8. Click "Close"

Now log in to the SSA website to upload your W2 electronic submission file

To access the SSA website from inside W2 Mate:

8. Click "IRS & SSA Instructions" from the top menu

9. Click "Go to Go to SSA Business Services Online Website (W2 Electronic Filing)"

You will be rerouted to the SSA Website (https://www.ssa.gov/), where you must log in to submit the file you have created.
