Fixing an Incorrect Employer Identification Number (EIN) on a W-2

An incorrect EIN on a W-2 means the wages and taxes were reported to the wrong company. This is a serious error that requires a two-step correction process. You must first void the original W-2 and then file a new one with the correct EIN. This ensures the wages and taxes are properly attributed to the correct employer.

Step-by-Step Instructions

  1. Open W2Correction Mate and either create a new company or open an existing one. IMPORTANT: Start with the company with the incorrect EIN.
  2. Create First W-2c (to Void):
  3. IMPORTANT: You must now create a new company as another instance of the Company above (give a different company file name), with the correct EIN.

  4. Create Second W-2c (to Correct):
  5. To print the employee's copy, select the W-2C Forms tab, select the employee from the list, click Print. In the dialog, select "Copy B—To Be Filed With Employee’s FEDERAL Tax Return".
  6. To print the SSA copy, select the W-2C Form tab, select the employee from the list, click Print. In the dialog, select "Copy A—For Social Security Administration".
  7. To e-file, select the Summary W-3C Form tab, and click E-File W-2C / W-3C Forms. Fill out information in the dialog, and click the Click here to review the W-3C form button.
